The buying process on Spiritory is designed to help you get the best price quickly, while also being maximally protected by authentication and escrow protection. Here's how it works step by step:

Register with your email address – you must be at least 18 years old. After logging in, you will have access to all purchase functions.

Find a bottle

Use search, filters and categories to find your desired bottle.

If it is not yet in the catalogue, click on 'Suggest product'; the Spiritory team usually adds new bottlings within a short time.

Choose a purchase option

  • 'Buy Now'You accept the current lowest retail price (Ask) and secure the bottle immediately.
  • Place a bidYou set your maximum price (bid). As soon as a seller accepts this price or an ask meets your bid exactly, the purchase is automatically triggered.

Automatic Matching & Sales Contract

If your bid meets a suitable ask – or if you have ordered via 'Buy now' – a binding purchase contract is immediately created between you and the seller. Up to this point, no payment data has been requested.

Digital authentication (max. 48 h)

The seller uploads photos of the bottle & packaging. Spiritory experts check authenticity and condition within 60 minutes to 48 hours. Only after the 'passed' status does it continue.

Payment only after successful verification

  • You will receive a notification and now enter your desired payment method – debit/credit card, PayPal or Klarna.
  • The purchase price + 6% processing fee will be charged; shipping is already included in the total price displayed.
  • The amount ends up in an escrow account, not directly with the seller.

After payment, the seller has three business days to pack, ship and upload the tracking number. On average, shipments within Europe arrive in 5-6 working days.

  • Purchases from private sellers are binding – no right of withdrawal.

5. Escrow protection until delivery

Your money will remain in an escrow account until the bottle has arrived and three days have passed without a complaint. Only then will the amount be paid out to the seller. If there is a suspicion of damage or forgery, Spiritory will freeze payment until the case is resolved.

Security & Privacy

Payment data is processed exclusively by the PCI-compliant payment service provider – Spiritory does not store any card details.

If a method is rejected or expires, the service provider will inform you so that you can enter a new one.

In short, you can bid or buy immediately without providing payment details beforehand. Only after passing the authentication do you deposit debit/credit card, PayPal or Klarna, pay, and your money remains held in trust until the bottle is safe with you.

How you handle cancellations depends on whether you're buying from a private or commercial seller – and whether your bid has already been matched with an offer.

1. As long as your bid is not yet matched

As long as your bid ("Bid") has not yet been assigned to a sales offer ("Ask"), there is no purchase contract. At this stage, you can simply delete the bid in your account:

  1. Log in → "Buy" → "Open Bids".
  2. Select a relevant bid.
  3. Click on "Delete bid" – done.

There are no costs at all.

2. As soon as the bid and the offer come together

If your bid is matched with a suitable offer, a binding purchase contract is concluded immediately. From here on, Spiritory distinguishes between two types of sellers:

Purchases from private sellers
Purchases are generally binding.
There is no right of revocation or return; Cancellations are therefore excluded.
Be sure to check product details and price before buying.
Purchases from professional sellers
Consumers within the EU have the legal 14-day right of withdrawal (period begins with receipt of the goods).
Return only for unopened, originally packaged bottles in unaltered condition.
Opened or tampered products are excluded from return.
To exercise the withdrawal, contact Customer Service within the period; You will then receive the return instructions.

3. Damaged delivery or suspected counterfeiting

If a bottle arrives damaged – or if you have a reasonable suspicion of counterfeiting immediately after opening the package – please inform our customer service immediately (ideally within 24 hours). Spiritory will then initiate the complaint procedure and resolve the case with the seller.

Important for you

  • You can cancel at any time before the match, after which the respective seller type applies.
  • Keep the shipping box and seal until you have inspected the bottle.
  • If you have any questions, have your order number and photos ready so that support can help quickly.

Principle

Spiritory is a trading platform – the actual shipping is organized by private or commercial sellers. Each seller chooses their own shipping service provider. Whether an age/ID check is carried out upon delivery therefore depends on

  • the legal requirements in the destination country and
  • the service option booked by the seller (e.g. "Ident-Check 18+" for DHL, "Age visual check", for UPS)

Your responsibility as a buyer

Minimum age 18 years: According to the terms and conditions, all Spiritory users must be of legal age.

Cooperate in the event of an ID check: If you refuse to present an ID, the package can be returned; the transaction could be canceled.

Incorrect age: If a buyer enters an incorrect age, they risk having their account permanently blocked.

Frequently Asked Questions

Can someone else accept the package?

Yes – as long as she is of legal age and can present her own ID in the event of a booked identification check.

Packstation or parcel box possible?

Only if the seller has not booked an age check and the service provider allows storage locations for alcohol shipments. This is excluded if an Ident-Check is booked.

What happens if the vehicle is not served due to a lack of ID?

The shipping service provider will leave a notification. They can usually arrange a second delivery or branch pick-up (with ID). If there is no acceptance, the package will be returned to the seller.

Spiritory itself does not carry out an age check on delivery; whether you need to identify yourself depends on the shipping service provider and the service option chosen by the seller. Always have a valid ID ready to be on the safe side – and note that the purchase of spirits on Spiritory is generally only permitted from the age of 18.

Tracking not updating?

Waiting times of 12–24 hours for first scans are normal. If the status remains unchanged for a longer period of time, contact support.

Seller doesn't upload a tracking number?

Only after the three-working day period has expired does Spiritory automatically remind the seller; after that, support can intervene.

Parcel "delivered" but nothing received?

First look in the environment (neighbors, storage location). If you can't find it, contact customer service immediately – within 24 hours at the latest – so that an investigation can be started.

Open Account → Orders, monitor the status timeline, and use the tracking link once the seller has shipped. Spiritory informs you via email/push about every step – from authenticity check to final payout.

Our experience shows that your bottle usually arrives within 5-6 working days of purchase – this guideline results from the fixed deadlines for authentication and shipping:

What happens if my item is lost or damaged?

Summary: All shipments on Spiritory are insured. If your bottle does not arrive or arrives damaged, Spiritory will either provide a quick replacement or refund you in full – at no additional cost.

Insurance & First Step

Each package is sent with an insured shipping service provider (e.g. DHL). If you find that your package is delayed, lost, or the bottle is damaged upon arrival:

  • Document the damage immediately upon delivery (photos of the package and bottle).
  • Within 24 hours of receipt or in case of non-delivery, contact customer service and include the order number and pictures.

2. Replacement or refund

  • Replacement bottle: Spiritory will first try to connect you with another seller who offers the same bottle and will arrange for it to be re-shipped. This may slightly increase the delivery time, but it ensures that you receive the item you want.
  • Full refund: If you do not want a replacement, you can get a full refund of the purchase price on request – without fees or deductions.

1. Understand the normal schedule

After a successful match, each order goes through three fixed phases:

  1. Digital authentication

    The seller uploads photos of your bottle within 48 hours; our team of experts will check authenticity and condition (maximum another 48 hours).

  2. Payment

    Only when the bottle has passed the test will your payment method on file be charged.

  3. Dispatch

    After payment, the seller has three working days to carefully pack the package, post it and upload the tracking number.

As long as the seller moves within these deadlines, there is no default.

2. Common reasons for missing shipments

Authentication is still ongoingIf less than two business days have passed since the sale, the seller may still be waiting for the verification result. Without a "green light" he cannot ship.
Payment is still pendingIf your payment method is not charged immediately for technical reasons, the seller will not receive the shipping label until the payment is posted.
Three-working day period is runningWeekends and public holidays do not count as business days. For example, if the purchase is on a Friday, shipping may be due by Wednesday.
Logistical delaysSome shipping service providers only pick up parcels on certain days; supply bottlenecks for packaging material can also postpone shipping by one day.

3. What can you do?

4. Your funds are safe

Your purchase amount will remain in escrow until the bottle has arrived and no complaint is received. Only then – no later than three days after delivery – is the money released to the seller.

Bottom line: In most cases, the seller is still waiting for the authentication result or is within the three-business day shipping period. First, check the order status; if it is exceeded, customer service will help you quickly.

Important information

Currently, Spiritory only offers shipping within the European Union, but orders to countries outside the EU – including Switzerland, the UK, the USA, Canada, Asia or other regions – are currently not possible.

Why is there this limit?

Customs and import regulations for high-proof spirits vary widely and require complex documentation.

Taxes and excise duties (e.g. alcohol tax) differ depending on the destination country; their correct handling would incur additional fees and longer delivery times.

Spiritory is initially focused on guaranteeing fast, transparent and fully insured shipping within the EU.

What does this mean for non-EU buyers?

You can register, track prices, and browse the catalog.

However, you can't place a bid or "buy now" as long as your delivery address is outside the EU.

If Spiritory expands shipping to your country, all registered users will be notified by email.

Future prospects

Spiritory continuously checks whether and when worldwide shipping is feasible – including clear information on customs duties, import taxes and local alcohol laws. Until then, the marketplace will remain an intra-EU trade.

Whether and how you can adjust your shipping address depends on how far along your order is. Spiritory will only transmit the address after the bottle has been authenticated and your payment has been posted – before that, it will only be in your account.

Once Spiritory confirms the authentication and the buyer has paid, the shipping phase begins. Shippers generally have three working days to hand over the package to the service provider — regardless of whether you are a private or professional seller.

Returns & Cancellations

Spiritory makes a strict distinction between private and commercial sellers as well as between regular revocation and complaint-related returns.

1. Purchases from private sellers

  • A purchase is final after the bid and offer match.
  • There is no right of revocation or return.
  • Therefore, check all product details (vintage, bottling, price) carefully before you buy.

2. Purchases from professional sellers

  • Consumers within the EU have the legal 14-day right of withdrawal.
  • The period begins on the day you receive the bottle.
  • Return only for unopened, originally packaged bottles in unaltered condition.
  • Opened or tampered products are excluded from return.
  • To exercise the withdrawal, contact Spiritory Customer Service within the 14-day period; You will then receive the return instructions.
  • Return shipping costs: According to EU law, the buyer usually bears the costs of return shipping, unless the retailer offers otherwise. Spiritory does not make any separate commitments in this regard.

3. Complaints in the event of a damaged delivery / suspicion of counterfeiting

  • If the bottle arrives damaged – or if you suspect counterfeiting – report this to support within 24 hours of delivery.
  • Have the order number and meaningful photos of the package and bottle ready.
  • Spiritory will initiate the complaint procedure and decide whether to initiate a return or refund.

Purchases from professional sellers
As a consumer in the EU, you have a 14-day right of withdrawal from the date of receipt of the goods.
The bottle must be unopened, in its original packaging and unaltered; opened products are excluded from return.
As a rule, you as the buyer bear the return shipping costs, unless the dealer offers otherwise.
You initiate the revocation via customer service; You will then receive the return instructions.

3. Complaint instead of cancellation

If the bottle arrives damaged or you immediately suspect counterfeiting, report this to support within 24 hours and attach photos. Spiritory will review the case and resolve it together with the seller and carrier – depending on the outcome, you will receive a replacement or refund.

4. How to proceed if you want to revoke

  1. Check deadline: Is the purchase from a commercial dealer and are you within 14 days?
  2. Contact support: Use the contact form in the Help Center or write an e-mail with the order number and cancellation policy.
  3. Pack the unopened bottle securely and return it with the shipping label provided by support.
  4. Receive a refund: Upon receipt and inspection of the goods, Spiritory will refund the purchase price minus any shipping costs.

In short, before signing the contract, you can simply delete your bid; after that, cancellation is only possible for commercial sellers within the framework of the 14-day right of withdrawal. If the goods arrive damaged, the complaint procedure takes effect.

Authentication & Buyer Protection

Authentication is at the heart of our Buyer Protection: no bottle changes hands without first being verified by our team of experts. This is how the process works step by step:

Sales & Start of the Exam

Once your offer has been accepted via "Buy Now" or your bid has been matched, the "Authenticate Now" button will appear on the sales page of your bottle.

Obligation: Private sellers must initiate the process within 48 hours. Only already verified merchants are allowed to disable authentication.

Image UploadYou upload clear photos of the bottle and the original packaging – including the cap, seal, level and label. This allows our team to check the condition against the Spiritory state guidelines.
Examination by subject matter experts

After receipt of the images, the digital examination begins. It usually lasts 60 minutes to 48 hours. The following are checked:

  • Authenticity (label, closure, serial numbers)
  • Compliance with our catalogue entry
  • Compliance with all condition criteria (unopened, flawless label, fill level "in neck", etc.).
Outcome & Next Steps
  • Passed: The buyer is informed and can now pay.
  • Unclear images: You will receive a request to submit photos later.
  • Failed: The transaction is canceled.
DispatchAfter payment, Spiritory will provide all shipping information. You have 3 business days to ship the bottle well packaged and insured.
PaymentOnce the buyer confirms receipt (or no later than three days after), your payout will be initiated – usually 5-7 business days after delivery.

Good to know

  • The authentication service is mandatory for private sellers; it protects both sides from counterfeiting.
  • If a bottle does not pass the test, Spiritory examines possible sanctions up to and including account blocking (see GTC § 5 "Counterfeiting and Fraud").
  • Always keep the original packaging carefully; their condition is included in the test result.

At Spiritory, only new, unopened bottles may be traded. For every transaction to pass our quality and authentication process, each bottle must meet all of the following criteria – both bottle and packaging count:

Request

  • Unopened & Original Closure
    Bottle must be fully sealed, with the original cork/screw cap.
  • Undamaged original seal
    Any seal (film, wax, shrink cap) is intact and not opened under any circumstances.
  • Level "in neck"
    The liquid reaches into the neck of the bottle; no excessive shrinkage.
  • Flawless label
    Label is complete, free of stains and paint damage.
  • Special case < 2000
    For bottlings before the year 2000, at least 90% of the label must be preserved.
  • Original packaging & inserts
    The bottle comes in the original box/tube – including all additions (insert booklets, magazines, etc.), also undamaged.
  • Whisky-friendly storage
    The bottle was stored in a cool place, protected from light and upright; no heat or UV damage.

Important: The condition of the packaging is just as important as that of the bottle. Both must be as good as new.

  • Only bottles that meet this standard pass digital authentication by our team of experts.
  • Discrepancies will result in the sale being cancelled and the goods being returned at the seller's expense.
  • Uniform quality guidelines ensure correct market prices and create trust between buyer and seller.

Tip: When authenticating, upload clear photos that show all of the above. This will help you avoid queries and speed up the sale.

Selling on Spiritory

At Spiritory, only new, unopened bottles may be traded. In order for every transaction to pass our authentication and quality procedures, each bottle – including packaging – must meet all of the following requirements:

Important: The condition of the packaging is just as important as that of the bottle. If a component has defects, authentication fails and the sale is canceled.

Consequences of deviations

If a bottle does not meet the criteria, Spiritory will cancel the transaction, return the goods at the seller's expense and may restrict the account depending on the severity of the violation.

So if you want to sell your bottle successfully, you should check whether all of the above points are actually met before posting and upload the corresponding photos for authentication in the best possible quality.

Once your bottle has been successfully sold, authenticated and received by the buyer, the payout is done in three clearly defined steps – completely automatically, without you having to initiate anything.

Buyer Receipt & Confirmation

After the tracking number receives the delivery scan, the buyer has three days to confirm receipt in their account. If he does not react, the delivery is automatically considered accepted. Their sale is thus finally completed.

2. Start of payout

No later than the third day after confirmed delivery, Spiritory will trigger the payout. The funds will be released from the escrow account and transferred to the bank account you have on file in your seller profile. You will receive an email notification once the transfer has started.

3. Credit to your account

On the bank side, a SEPA transfer usually takes 3 – 5 working days. In individual cases (e.g. international bank holidays), the credit may be slightly delayed. Expect a total of about five to seven working days after delivery until the money is booked in your account.

Frequently Asked Questions

Can I speed up the payout?No – the fiduciary model protects both parties. It is not possible to release before the expiry of the three-day period.
What happens if the buyer reports a problem?If the buyer reports damage or suspected counterfeiting within 24 hours, Spiritory will hold the payout until the case is resolved. In the event of a justified complaint, the transaction can be cancelled and the bottle returned to you.
How do I see the status?Under Account → Selling → Completed Sales, you will find the real-time status "Delivered", "In Payment" or "Paid Out".

In short, your payout is automatically triggered three days after confirmed receipt and transferred to your bank account within a total of five to seven working days – transparently, securely and without any manual effort.

Is there a bulk upload feature (CSV/API)?

Currently no. Spiritory does not currently support bulk capture via CSV import or API. Each bottle is created individually using the form "Select bottle → create offer".

What does this mean for sellers with large inventory?

Add individually

Search for bottle → set price & transit time → save – process per item approx. 30 seconds.

Speed up copy-and-paste

Fields such as price, runtime, and notes retain their last values after saving; this allows similar bottles to be created more quickly.

Product missing?

Add via "Suggest bottle"; after approval (usually 1–3 working days), the entry is available for further offers.

Large dealers

If you want to list a lot of items, you can contact support. The team offers a guided onboarding session if required until an official bulk solution is available.

Roadmap

Bulk upload (CSV/API) is on the development agenda, especially for commercial power sellers. A timetable has not yet been communicated; Updates will follow in the seller newsletter.

Pause offers – via on/off switch

In the Sell → Offers section, you can see each of your bottles in a list. To the right of the valid-to date is a blue toggle switch:

After a match (your ask hits a bid), the sale is binding: price, term and counter position can no longer be changed. The process jumps to the authentication and payment phase.

Quotation strategy tip

  • Check price before you pause – if a high bid already exists, a discount after reactivation could result in an immediate sale.

  • Extend the term instead of pausing re-lists – this way you can keep your ranking and bid history and save time.

In short:

Pausing is easy with a toggle switch – without deleting or creating a new one. Price and term can be changed at any time as long as the offer has not yet been matched; changes are excluded after a match.

Spiritory reviews new product proposals on a daily basis and typically introduces them to the catalog within 1-3 business days. The exact timeframe depends on two factors:

Completeness of information

The more information and source links you provide with the proposal (brand, bottling, vintage, RRP, release date, external link), the faster the team can clearly verify the bottle.

Current Proposal Load

If there are many simultaneous submissions – for example, after major releases – it can take up to five business days to process. Spiritory works through proposals chronologically.

Immediately after clicking on "Submit", you will receive an e-mail that your proposal has been entered into the system.

The content team checks label dates, vintages and, if necessary, image material for plausibility.

After successful testing, the bottle will appear in the marketplace. You can now add them directly to your portfolio or create an offer as a seller.

Tips for a quick release

  • Link to official sources (distillery website, press release, trade magazine).
  • Fill in all mandatory fields (category, product name, brand) correctly.
  • Images only if they are copyright-free or come from an official source.

In short:

Most Suggest Bottle requests are live within 1-3 business days. In case of incomplete information or high occupancy, it can take up to five working days. Once the bottle is released, Spiritory will inform you by email.

Open Account → Sell → Payout Details.

Store bank details
  • IBAN of a SEPA-enabled current account (only in your name or company name).
  • BIC is added automatically; Foreign currencies are currently not possible.
Complete personal information

The payment service provider requires the full civil name, date of birth and residential or business address. Commercial providers also store their VAT ID.

Wait for KYC check

In rare cases, the payment service provider will ask for a copy of your identification document or proof of address. Upload these documents in the secure upload mask. Only after a successful "Know-Your-Customer" check is the payout account active.

Tipp: If your bank details change, update them before the next sale so that we can transfer on time.

You can close your Spiritory account at any time. The platform distinguishes between temporary deactivation (profile is hidden, data is retained) and permanent deletion (data is irrevocably removed).

    Any remaining amounts in the escrow account must be transferred to you in full.

2Deactivate account (cancel at any time)

  1. Log in → account → settings → your account
  2. Click on the "Delete account" button
  3. Select reason (optional) and confirm

Your profile will be hidden immediately; You can still log in and reactivate the account.

3Have your account deleted (support way)

  1. Write to info@spiritory.com from the email address registered with Spiritory and request account deletion.
  2. Enter your username and, if available, the last order number.
  3. Support verifies your identity and deletes the account within a few days.

In short:

Conclude ongoing transactions, then delete the account in the account settings. In case of difficulties, the support will help - and after confirmation, your account will be safely removed within a few days.

Platform Features

You can also integrate purchases that took place outside of Spiritory – such as at a local dealer, on vacation or at an auction – into your dashboard. This allows you to keep an eye on the entire portfolio and its market value in one place.

Switch to portfolio
  • Click Portfolio in the main menu on the left (or in the Portfolio tile on the dashboard).
  • You will see a box with the note "You don't have a bottle in your collection yet" and the blue button "+ Add bottle".

Select Bottle
  • A search window opens; enter the name of the bottle (brand, bottling, vintage).
  • Select the appropriate entry from the Spiritory database.
  • Is the bottle missing? Click on "Suggest a product" in the left sidebar. Once approved by the Spiritory team, you can add them as usual.

Enter your own purchase details
  • Purchase price: Enter what you paid at the time (optional).
  • Date of purchase: To calculate your personal performance.
  • Number of bottles: If you own more than one bottle.
  • Optional note (e.g., source of supply, storage location).

Save
  • With "Save", the bottle is immediately assigned to your portfolio.
  • The dashboard updates the overall score, performance and the charts (brand or country distribution) in real time.

Other promotions

Edit

Open the bottle in the portfolio list and adjust the price, note or quantity at any time.

Remove

If you sell or give away the bottle outside of Spiritory, you can delete it from the portfolio by clicking "Remove".

Performance View

In the dashboard, the Performance tile shows you the percentage performance of your collection based on the latest Spiritory market data.

In short:

Click on "+ Add bottle" to search for the entry, enter your historical purchase price and date and save – and the external bottle will appear in the Spiritory portfolio and be included in all statistics. If a product is missing, suggest it first via "Suggest bottle".
